How to Submit a Surplus Sales Bid Sheet  
 
Summary: Learn how you can personally buy UCSD Surplus Sales items available through the sealed bid process, following step-by-step instructions to submit a Surplus Sales Bid Sheet.

What to do How to do it
1 Get the Surplus Sales Bid Sheet form.
  1. Click Surplus Sales Bid Sheet (PDF), and print out a copy of the form.
2 Complete the Bidder Information section of the form.
  1. On the left side of the form, list your:
    • Full name
    • Home address, city, and state
    • Home telephone number
    • E-mail address
    • Resale number (if any)

  2. If you are a UCSD employee, fill in the following information in the box marked UCSD Employees Only:
    • List your employee identification number.
    • List your department.
3 Complete the Items Desired section of the form.
  1. Provide the following information, which you will find when you go to the UCSD Surplus Sales Web site and/or when you visit the Surplus Sales facility:
    • The lot number
    • A brief description

  2. List your bid amount.
    Bid recommendation:
    • Bid the price you are willing to pay for the item.
    • Examine, test, or evaluate all items before placing a bid.
4 Read the information in the Conditions of Sales section of the form.
  1. While reading the Conditions of Sales, please pay close attention to the following:
    • All items are sold on an "as is, where is" basis.
    • There is no warranty on any items sold.
    • All sales are final.
    • All items must be removed within seven days of bid acceptance.
5 Sign and date the bottom section of the form, and review for legibility.
  1. Sign your name on the signature line.
  2. Enter the date you complete the form.
  3. Review the form for legibility. If the form is not legible, your bid may be rejected.
6 Send the form to Surplus Sales.

Important: All bids are confidential and must be received by the last Wednesday of the month by 2 p.m. PST.

Notice: UCSD employees may buy items from Surplus Sales for personal use. Exceptions: Employees or near relatives of Material Support Services; and UCSD employees or near relatives when the property originates from the employee's department. A "near relative” includes a spouse, mother, father, child, or sibling, and step-relatives or in-laws in the same relationships.
