How to Request an Exception for Gifts to Non-employees and Organizations  
 
Summary: Use these step-by-step instructions to request an exception to policy when gifts to non-employees or organizations exceed the cost limit.
What to do How to do it
1 Review gift-giving guidelines.
  1. Read the guidelines on gift giving to review policy and cost limits.
2 Write a justification.
  1. Provide the following information in your justification:
    • Name of the person or organization to receive the gift
    • Type of gift
    • Purpose of the gift
    • Special circumstances that require the exception
Note: Giving a gift to a non-employee or organization must have a clear business purpose or benefit to UCSD.

3 Submit your justification.
  1. Submit your written justification to the disbursements manager.
Note: The disbursements manager will coordinate your request with the controller, who authorizes exceptions on a case-by-case basis.
