FEIN and SSN Masking: Financial Identification Number  
 
Summary: Learn about the Financial Identification Number (FID) system for masking Social Security and Federal Employer Identification Numbers.

If you use UCSD's financial systems such as FinancialLink, TravelLink, IFIS, or Data Warehouse, the FID procedure applies to you.

Background: On Jan. 24, 2004, UCSD’s financial systems began using a Financial Identification Number (FID) to mask the Social Security number (SSN) or Federal Employer Identification Number (FEIN) currently used as vendor, payee, or traveller numbers. The FID process was created to comply with new privacy laws.

Facts about the FID:
  • The FID is an automatically generated next-up number permanently assigned to each SSN or FEIN.
  • The FID replaces the SSN or FEIN for viewing purposes only.
  • The FID is created when a vendor, payee, or traveller is added to UCSD's financial system.
    • When you request to have a new vendor, payee, or traveller added to the system, you will still need to provide the SSN or FEIN.
    • If the new payee or traveller is an employee, you will only need to provide the Employee ID number.
How the FID works:
  • Each FID has eight digits, followed by either in P for Person or E for Entity.
    • 00000000P= Person
    • 00000000E=Entity/Business
  • When you enter an existing SSN or FEIN anywhere in UCSD's financial system, an FID appears in place of the SSN or FEIN.
  • When the FID number appears, the screen also displays the last four digits of the corresponding SSN or FEIN, so you can easily identify the correct person or entity.
  • You can use FIDs in queries to the Data Warehouse or via Querylink.
