This guideline applies to all funds:

• UCSD retains or destroys administrative records in accordance with the University Records Disposition Schedules Manual, which incorporates federal record retention requirements.

These guidelines apply to funds for sponsored projects only:

• With regard to federal contracts and grants, UCSD must meet both the University of California and the individual award requirements, whichever is longer.
• In case of audit or litigation before the retention period is up, the retention must be extended until the case has been resolved.
• If you are responsible for deciding retention periods for federal awards, consider the following:
  • The length of retention stipulated in the University Records Disposition Schedules Manual
  • The existence of an audit or litigation relating to the award
  • The retention period stipulated in the award
• UCSD's general policy says that material related to contracts, grants, and cooperative agreements should be retained the longer of:
  • 6 years after the project ends
  • The resolution of any litigation, claim, or audit
  • The period stated in the award document
