Making Campus Events Accessible

Summary: Find out how to make your event accessible to people with disabilities.

Your responsibility in making disability accommodations

If you sponsor any on-campus activity or event outside the classroom, your department or organization must make the event accessible to individuals with disabilities, including those who are deaf or hard of hearing.

Arranging for disability accommodations

For faculty, staff, and visitors with disabilities, Accommodation Counseling and Consulting Services (ACCES) provides assistance to event or activity sponsors in arranging for sign language interpretation or real-time captioning coordination services. ACCES provides referrals to outside interpreting and captioning agencies at no charge or coordinates and schedules the services on a recharge basis.

For students with disabilities, the Office for Students with Disabilities (OSD) coordinates some services, such as sign language interpreters, for campus departments and organizations on a recharge basis and within these guidelines:

  • Services are subject to availability.
  • Provide at least a 2-week notice for interpreter requests.
  • Provide a recharge number.

OSD provides referrals to outside interpreting and captioning agencies when OSD services are not available.

Including disability accommodations in your publicity

Fliers, e-mail and Web notices, newspaper ads, etc., should include:

  • Deadline for requesting accessibility accommodations (at least 2 weeks before the event if you'll be using OSD services)
  • Complete contact information:
    • Phone and fax numbers
    • E-mail address

Additional accessibility resources

If you have questions, contact:

  • Accommodation Counseling and Consulting Services (ACCES), (858) 534-6744.
  • Office for Students with Disabilities, (858) 534-4382.
