Q: When will I receive my W-2 statement?
A: W-2 statements are mailed on or before the federal deadline of Jan. 31. Payroll cannot release individual W-2 statements before they are mailed to all UCSD employees.

Q: Where will my W-2 statement be sent?
A: W-2 statements are mailed to the permanent mailing address listed in the Payroll Personnel System.

Q: How do I get a duplicate W-2 statement?
A: If you misplace or do not receive your W-2 statement, refer to How to Get a Duplicate W-2 Statement.

Q: I did not work last year, so why did I receive a W-2 Statement?
A: For tax reporting purposes, wages are reported when they are paid, rather than when they are earned. You may have worked during December and received your pay on the first banking day of the following year. Also, you may have received accrued vacation leave pay out (Terminal Vacation Pay).

Q: TurboTax asks me to confirm that the DCP items in box 14 are a type of mandatory tax. Is it a tax?
A: DCP (Defined Contribution Plan) is not a tax; it is a mandatory savings plan for retirement purposes.

Q: What if my address (box e) is incorrect?
A: Address changes don't require a W-2 correction.

Q: Why aren't my December earnings reflected in the W-2?
A: For tax reporting purposes, wages are reported when they are paid, rather than when they are earned. December earnings are paid on the first banking day in January and are therefore reported in the new tax year.

Q: I think my federal (or state) gross is too high. How can I make sure my W-2 statement is correct?
A: Note that gross income also includes bonuses, awards, independent contracting, vacation pay out, and December earnings. If you believe that your federal (or state) gross is too high:
  1. Review all your pay stubs with a pay date in the year in question.
  2. Add the taxable gross columns (not the gross columns) of the paycheck stubs.
  3. Verify that the taxable gross sum matches the taxable gross listed on your W-2 statement.

  1. Review all your pay stubs with a pay date in the year in question.
  2. Add the taxable gross columns (not the gross columns) of the paycheck stubs.
  3. Verify that the taxable gross sum matches the taxable gross listed on your W-2 statement.

Q: What is the Other Income amount on my W-2 statement?
A: This amount is non-payroll income that is taxable. Common examples include: travel, moving expenses, independent contractor services, or training and educational grants paid to you or on your behalf.

Q: Why are box 1 wages (federal) and box 3 wages (Social Security) different?
A: The following deductions reduce your federal, Social Security, and Medicare wages: out-of-pocket health expenses, van pool participation, DepCare, Health Care Reimbursement Account, and parking.

Q: My year-to-date FICA tax deductions on my last pay stub for the year do not equal my Social Security tax withheld in box 4 of the W-2. Why?
A: FICA tax comprises the Social Security tax withheld (box 4) and Medicare tax withheld (box 6). Add these two items together and the sum should equal the FICA tax deduction displayed on your last paycheck of the year. Q: Where is State Disability Insurance (SDI) on my W-2 statement?
A: UC does not deduct SDI from your paychecks, so it is not reported on your W-2 statement. The DCP amount displayed in Box 14 is not UC’s equivalent to SDI.
