Each authorized department buyer must have at least one Ship To code.
Definition: A Ship To code is a six-digit number that identifies where materials are to be shipped. When you enter the Ship To code in the required field of a Department Order or High Value Purchase Requisition, the field will display the complete delivery address, including:
- Name of contact person or person receiving goods
- Building name, room number, and Mail Code
- 7835 Trade Street, San Diego, CA 92121 (UCSD's Receiving Department)
- Contact phone number
Delivery location: UCSD's Receiving Department is the primary delivery location. The Receiving Department protects UCSD customers from damages and shortages, and deals with any freight claims. Therefore, it is not appropriate to have shipments delivered directly to campus locations.
Exceptions to UCSD Receiving: You may request an exception to the UCSD Receiving delivery address in the following unique circumstances:
- A delivery that requires special equipment and handling
- Delivery to remote locations away from the main campus such as Elliott Field, medical clinics, special facilities throughout the community (Scripps Institution of Oceanography is considered part of the main campus)
If your department determines that they qualify for an exception to the UCSD Receiving Department delivery address, please include the following information in your Ship To code:
- Name of contact person or person receiving goods
- Complete address, including city, state and ZIP code
- Contact phone number
Special-purpose Ship To codes: When you require special delivery instructions or when delivery is not needed, use the appropriate Ship To code listed below:
- 002792 "WILL CALL BY UCSD STAFF"
This code indicates that you will pick up the goods in person, and that they need not be shipped.
- 003290 "INSTRUCTIONS IN BODY OF PO"
Use this code if items are being shipped to an off-campus location, such as a field station or conference location. Be sure to include the shipping instructions with your item description on the purchase order.
- 003289 "SHIP INSTRUCTION NOT APPLICABLE"
Use this code if you have already picked up the materials, if they have already been delivered to you, or if this purchase order is for a service and no goods will be delivered.
- 002696 "UCSD - EH&S SERVICES LAB
Use this code for all radioactive materials orders.
Note: When you place an order, be sure to give the vendor the full delivery address, not the Ship To code.
