Overdraft Help: How to Create Overdraft Profiles  
 
Summary: Follow the steps below to create overdraft profiles. The profiles will be run each month on the schedule that you select, and you will receive an e-mail notification to review the overdraft report.
What to do How to do it
1 Go to the Overdraft Reporting Profiler in FinancialLink.
  1. Go to the tools screen in FinancialLink.
  2. Choose the Overdraft Reporting Profiler option under Reconciliation.
You must have a valid User ID and group identifier to access the Overdraft Reporting Profiler. If you don't have a User ID or group identifier, contact your departmental security administrator (DSA) for assistance.

2 Create your profile group at the Profile Group Maintenance screen.

If you have already created profile groups, you can modify them using the Custom Profile Criteria screen, described in Step 6 below.
  1. Click the Add Profile Group button at the top of the screen.

3 Enter profile group criteria at the Overdraft Profile Definition screen.
  1. Enter the name of your profile in the Profile Identifier field.
  2. Enter a description for this profile. The description will be displayed on the Profile Group Maintenance screen.
  3. Decide when you want to receive the overdraft e-mail notification. Select a schedule from the Notification Schedule drop-down menu.
  4. Click the Add E-Mail Address button to enter e-mail addresses. You must provide at least one, and you can enter additional e-mail addresses of individuals who should receive copies of the reports.
    Note: Only UCSD e-mail addresses are accepted. E-mail addresses are validated through the UCSD phone directory.
  5. Click the SaveProfile button to save this profile. You can't create profile detail records until you save this profile definition.

4 Decide which method to use for creating profile detail records.
  1. If you are not familiar with overdraft profiles, or if you are a first-time user, click the Add Standard Profiles button and go to Step 5.
  2. If your profile definition is uncomplicated, such as those involving a single organization or project, click the Add Custom Profile button, and go to Step 7.
5 Add the standard profile.
  1. Select a schedule from the Template Names drop-down list. Your options are:
    • FundMgr_Std for fund managers at the departmental level
    • MSO_Standard for department business officers
    • VC-Standard for financial managers in the vice chancellor areas
  2. Enter the organization code for this profile.
  3. Click the Generate std profile button. The profile detail records will be created, and you will return to the Overdraft Group Profile Definition screen. Go to Step 7.

6 Add the custom profile.
  1. Enter the detail name for your custom profile in the Detail Name field (you are limited to 15 characters).
  2. Enter your selection criteria in the Selection Scope fields. For more information on Selection Scope, see Overdraft Help: Custom Profile Criteria.
7 Complete the custom profile by selecting reporting criteria.
    • Select a reporting presentation from the Reporting Presentation drop-down menu.
    • You can change the sort order of the report by clicking the Sort Wizard button.

  1. Select a balance filter option from the Balance Filter drop-down list. See Overdraft Help: Custom Profile Criteria for more information.
  2. Enter the dollar amount in the Overdraft Balance Greater Than field. See Overdraft Help: Custom Profile Criteria for more information.
  3. Select a time frame from the Time in Overdraft drop-down list. See Overdraft Help: Custom Profile Criteria for more information.
  4. If you would like to include or exclude certain overdraft codes from your report, select include or exclude form the Overdraft Code to Be drop-down list. Then, click the appropriate codes. See Overdraft Help: Custom Profile Criteria for more information.
  5. Click the SaveDetail button to save this profile detail criteria. You can also preview the results of your selections by clicking the Preview button. See Overdraft Help: Custom Profile Criteria for more information.
8 You can now create additional profiles, if you need to.
  1. Your reports will be run on the schedule that you requested, and you will receive an e-mail notification. See Overdraft Help: How to Use Your Overdraft Reports for more information.
